Standardising workplace technology often seems like the sensible option. When every employee receives the same laptop, ordering becomes straightforward, IT support appears easier and managers do not need to decide which device is appropriate for each person. It creates a tidy procurement process, but it can also result in a business spending significantly more than necessary.
The problem is not standardisation itself. There are clear advantages to limiting the number of devices used across an organisation. The problem arises when standardisation means purchasing one relatively powerful laptop for everyone, regardless of what they actually do.
An employee who spends most of the day answering emails, updating spreadsheets and using browser-based software does not need the same processing power as a video editor, software developer or graphic designer. It is not unusual for executives to receive the most expensive laptops in a company even when their work involves little more than email, presentations and meetings. Meanwhile, an employee who regularly handles demanding creative software may be expected to work on an older or less capable device. A better procurement policy focuses on what the person needs to accomplish rather than where they sit within the organisational hierarchy.
Managers should also consider the full working setup. An employee who spends most of the week at a fixed desk might gain more from an external monitor and comfortable keyboard than from a premium laptop screen. A moderately priced laptop combined with the right accessories can often produce a better working experience than an expensive device used on its own.
Avoiding False Economies
Reducing unnecessary spending does not mean buying devices that are barely capable of performing their assigned tasks. Underpowered laptops can create their own costs through delays, crashes, support requests and employee frustration.
The lowest specification that works today may not remain suitable after several years of software updates. Businesses therefore need to allow for reasonable growth in system requirements, changes to working practices and the possibility that an employee’s responsibilities will expand.
Reliability matters too. A laptop that repeatedly needs repair can quickly erase any saving made at the time of purchase. This approach also makes replacement planning easier. Instead of automatically replacing every laptop after a fixed number of years, businesses can assess whether devices can be reassigned. Reassignment can extend the value gained from each purchase and reduce the number of devices that need to be bought at one time. It can also support environmental objectives by keeping functional equipment in use for longer.
Giving every employee the same laptop may be administratively convenient, but convenience should not be mistaken for efficiency. The fairest system is not necessarily one in which everyone receives identical equipment. It is one in which each employee has the technology required to perform their role properly.
By assessing workloads, creating a small number of device categories and considering refurbished MacBooks alongside new equipment, businesses can reduce wasted spending without compromising productivity.
